Event and Conference Transport Partner

Event transport is a scheduling problem before it is a vehicle problem. A hundred delegates arriving across ninety minutes is a different brief from a hundred delegates arriving at once, and the difference is decided by the run sheet, not the fleet size.

We plan from your run sheet: arrival windows, session start times, speaker call times and departure waves. Vehicles are then allocated to windows rather than to individuals, which is what keeps a venue forecourt clear and a session starting on time.

On the day there is one coordinator holding the whole movement, reachable directly, with the 24/7 operations desk behind them. Afterwards there is one GST invoice itemised by movement rather than by passenger.

How the booking process works

  1. 1. Share the brief

    Send the run sheet or draft schedule, expected numbers, venue and hotel list, and any VIP movements. We come back with a vehicle plan and a written quote.

  2. 2. Agree the plan

    Vehicle classes, arrival windows and standby requirements are fixed in writing, including what a change costs and by when it is free.

  3. 3. Nominate a coordinator

    You get one named coordinator for the event, with direct contact details, plus the 24/7 operations line as backup.

  4. 4. Event day

    Movements are run to the plan and adjusted live as sessions run over or flights shift. Changes go to the coordinator, not to individual chauffeurs.

  5. 5. Post-event invoice

    One GST invoice itemised by movement and vehicle class, with a movement log available for your own event report.

Questions, answered

Can you hold vehicles on standby at the venue?

Yes. Standby is quoted by the hour and agreed in the plan, so an overrunning session does not become an unbudgeted line afterwards.

How late can numbers change?

The written plan sets a cut-off after which a vehicle is treated as dispatched and chargeable. Before that point, changes cost nothing. We agree the cut-off with you rather than imposing one.

Is there a cost to open a partner account?

No. A partner account is a billing and dispatch arrangement, not a subscription. You are quoted against an agreed written rate card per city and invoiced monthly with GST itemised.

Who is the operating entity?

Drive to Arrive Pty Ltd, ABN 13 636 578 937, established 2007, registered at 83 Church Road, Doncaster VIC 3108. Vehicles are registered commercial passenger vehicles with Safe Transport Victoria and the equivalent regulator in each state, chauffeurs are accredited, and each vehicle carries AUD $20,000,000 third party liability cover.

How do changes and cancellations work out of hours?
