Flight Delayed? What Happens to Your Pre-Booked Chauffeur

The reason people pre-book an airport chauffeur is not the vehicle. It is that the thing they cannot control — when the aircraft actually lands — stops being their problem.

TL;DR

  • Give us the flight number. Everything else follows from it.
  • We monitor the flight and move the pickup to the actual landing time.
  • Early landings are handled the same way as late ones.
  • The waiting clock is set from the tracked arrival, not from your original booking time.
  • Terminal changes and diversions are handled by operations, not by you standing at the kerb.

What we do with your flight number

A flight number is the only detail that makes an airport booking self-correcting. With it, your pickup is tied to the flight's tracked status rather than to a time typed in days earlier.

If the flight is running ninety minutes late, the chauffeur's schedule moves ninety minutes. If it lands twenty-five minutes early — which happens more than most travellers expect on domestic sectors with a tailwind — the chauffeur is brought forward. Either way, nobody needs to telephone anybody from an aerobridge.

Without a flight number, we are working to a clock. That still works, but it is a plan with no feedback loop, and on any day with weather it will be wrong.

The four things that actually go wrong

1. The delay you know about before you board. The easiest case. The flight's status changes, we see it, the pickup moves. If the delay is long and your onward plans change — a different destination, a cancelled meeting — one call to the 24-hour line updates the booking.

2. The early arrival. Under-appreciated, because most people only plan for lateness. An early landing with a fixed-time pickup means standing in an arrivals hall for forty minutes. Tracked arrivals remove that.

3. The diversion or cancellation. Here a human decision is needed: your aircraft is now somewhere else, or tomorrow. Operations adjust the movement against your booking reference rather than losing it. Tell us your rebooked flight number as soon as you have it and the booking follows you onto it.

4. Baggage and border processing. The aircraft can land on time and you can still emerge an hour later — a full international bank at the carousels, a long queue, or a bag that does not appear. This is why the chauffeur's clock starts at the tracked landing plus a realistic clearance allowance, and why the meeting arrangement is a wait in the arrivals hall rather than a car circling.

Where will the chauffeur be?

For arrivals, the chauffeur waits in the arrivals hall, on foot, and walks you to the vehicle. That matters most on the days things go wrong: if you are an hour behind, you are not trying to find a moving car by phone while pushing a trolley.

Terminal arrangements differ by city and by airport, and in some cases by time of day. We put the specific meeting arrangement in your confirmation for that airport, that terminal and that time — and if your inbound aircraft arrives at a different terminal from the one scheduled, operations move the chauffeur rather than asking you to walk.

How is waiting time treated?

The principle is simple: the clock starts when your flight actually arrives, not when your booking said it would.

  • Domestic arrivals include a complimentary grace period from the tracked landing time, sized for a domestic bag claim.
  • International arrivals include a longer allowance, because the clearance and carousel process is genuinely longer.
  • Beyond the included allowance, waiting is charged in increments at the rate quoted in your confirmation — a fixed price you have seen before travelling, with no surge pricing on a delayed flight.

If a bag goes missing and you are filing a report, tell the chauffeur or call the 24-hour line. Staying with the booking is almost always better than releasing the vehicle and starting again at the taxi rank with a claim form in your hand.

What to give us at booking

  • Flight number and date — the single most useful field on the form.
  • Number of passengers and bags — capacity is often decided by luggage, not seats.
  • Child seats — ages and number, so the correct restraints are fitted before arrival.
  • Destination address — a street address, not a suburb or a hotel brand.
  • A mobile number that works on landing — an Australian number, or a roaming number that will actually receive a message.
  • Anything unusual — oversized instruments, sporting equipment, a wheelchair, or a party splitting to two addresses.

Departures: the other direction

For outbound flights, the risk inverts — you are not managing an unknown arrival time but a fixed cut-off. We plan departures against your check-in requirement rather than your flight time, with allowance for the road at that time of day and that day of the week. For international departures, tell us the airline's recommended check-in window and we work back from it.

Groups

Delays are harder with a group because the group does not stay together. Fifteen people in an arrivals hall become three clusters within ten minutes.

  • Executive Sedan — 1 to 3 seated.
  • Luxury SUV — 1 to 4 seated, better for luggage.
  • Mercedes-Benz V-Class — up to 7 seated.
  • Mercedes-Benz Sprinter — up to 11 seated with full luggage.
  • Minibus or coach — 12 to 21 seated.

Above twenty-one, the movement runs as a convoy under one booking reference with a nominated lead chauffeur, which is what keeps a delayed group arrival from becoming five separate conversations.

Frequently asked questions

Do you track flights automatically? Yes, when a flight number is on the booking. The pickup is set from the tracked arrival, not the originally booked time.

What if my flight is early? The chauffeur is brought forward against the tracked arrival, so you are not waiting in the hall.

Where does the chauffeur wait? In the arrivals hall, on foot, then walks you to the vehicle. The exact meeting arrangement is stated in your confirmation.

Is waiting time charged when the delay is not my fault? Your included allowance runs from the actual arrival, so an airline delay does not consume it. Beyond the allowance, waiting is charged at the fixed rate in your confirmation, with no surge pricing.

What if my flight is cancelled and I rebook? Call the 24-hour line with the new flight number and we move the booking to it rather than cancelling and rebooking.

Can you fit child seats? Yes — tell us the number of children and their ages at booking and the restraints are fitted before we collect you.
