How to Organise Transport for a Corporate Conference

Conference transport is a timetable problem. This guide covers how to convert a run sheet into a vehicle plan that keeps sessions starting on time.

Start from the run sheet

A conference transport plan is built from session start times, not from delegate names. What matters is how many people need to be at the venue by when, and how many vehicle movements it takes to get them there without a queue at the door.

Send the draft run sheet early, even if numbers are not final. Numbers change; the shape of the day rarely does, and the shape is what determines the vehicle plan.

Arrival windows and loop design

The core tool is the shuttle loop: a vehicle running a fixed circuit between hotels and the venue on a published timetable. A loop is more efficient than individual bookings and, crucially, it is predictable for delegates, who will otherwise start ordering their own vehicles and arriving in an unmanaged trickle.

Size loops so the last delegate arrives at least fifteen minutes before the session opens, not at the moment it opens. Publish the timetable in the delegate pack and at the hotel desk; an unpublished shuttle is a shuttle nobody uses.

Speakers and VIPs move on call times

Keynote speakers, sponsors and dignitaries should never be on the delegate shuttle. They move on call times, which are earlier and less forgiving than session times, and they frequently need to leave immediately afterwards.

Allocate dedicated vehicles for these movements and hold them. A speaker standing outside a venue waiting for a returning shuttle is the image the sponsor remembers.

Standby, overruns and the cut-off

  • Budget at least one standby vehicle on site for any conference over about eighty delegates; sessions overrun and someone always needs to leave early.
  • Agree in writing the point at which a vehicle is treated as dispatched and chargeable, so a late change is a known cost rather than a dispute.
  • Set a numbers cut-off with us rather than accepting an arbitrary one — before the cut-off, changes cost nothing.
  • Nominate one person on your side who can authorise changes on the day. Transport plans fail when three people are amending them at once.

Interstate and international delegates

Delegates flying in should be booked as flight-tracked airport transfers rather than folded into the shuttle plan, because their arrival times are outside your control. Where a large number arrive within a similar window, a staged airport shuttle is worth costing against individual transfers.

Questions, answered

How far in advance should conference transport be booked?

Vehicle availability, not price, is the constraint. For events over fifty delegates, six to eight weeks ahead is comfortable; peak weeks in Melbourne and Sydney can require longer.

Can delegates book individual movements against the event account?

Yes, if you want that. It is usually better to nominate who may authorise bookings, so the invoice at the end matches the budget at the start.
