Wedding Guest Transportation Checklist
Wedding transport has two audiences with different needs — the bridal party and the guests — and planning them as one movement is where most wedding days lose time.

Plan the bridal party and the guests separately
The bridal party runs on a photographer's schedule; guests run on a venue's schedule. They overlap at exactly two points — the ceremony and the reception — and treating them as one transport plan is what produces a coach full of guests waiting while a photographer finishes.
Book dedicated vehicles for the bridal party, held for the duration of the day, and separate shuttle capacity for guests on a published timetable.
The photo-stop buffer
Between the ceremony and the reception, most couples take photographs at one or more locations. Photographers habitually underestimate this, and the overrun lands on the transport plan.
Build a buffer of at least thirty minutes into the bridal party's vehicle hold, and make sure the vehicle is booked as held rather than as two separate point-to-point movements. A held vehicle absorbs an overrun; a released one does not come back quickly.
Guest shuttles
- Publish the shuttle timetable on the invitation website and print it on the order of service — an unpublished shuttle is unused.
- Run the first departure to the ceremony at least forty-five minutes before the ceremony start.
- For ceremony-to-reception movements, run two departures rather than one, so guests who linger are not stranded.
- Nominate one guest, not the couple, as the transport contact on the day.
Late-night returns
Return transport is where wedding plans most often break. Guests do not all leave at the end; a first group leaves around an hour before the finish, and the rest leave at once when the music stops.
Plan two return waves accordingly, and confirm with the venue what time vehicles may access the driveway. Regional venues in particular often have access restrictions after a certain hour.

- Final guest numbers for each shuttle leg, confirmed one week out.
- Ceremony, photo-stop and reception addresses with access notes.
- Bridal party vehicle held for the full ceremony-to-reception window plus buffer.
- Published guest shuttle timetable, on the website and printed.
- Two return waves with times, and the venue's vehicle access cut-off.
- One nominated transport contact who is not the couple.
- Any guests with mobility requirements, flagged at booking.
Questions, answered
Can one vehicle do the bridal party and then the guest shuttle?
Sometimes, if the timings genuinely allow — but it removes all slack. If the ceremony runs long, you lose both movements at once. We will tell you plainly whether your schedule supports it.
How far in advance should wedding transport be booked?
Saturday dates in peak season book out well ahead. For a spring or autumn Saturday, six months is not early.
