These four days are the Melbourne Cup Carnival. They are part of a longer Victorian spring racing program run by Racing Victoria 2, which also includes the Caulfield meetings and, in 2026, Cox Plate Day at Flemington on Saturday 24/10/2026.

Start with the passenger list

Group transport works best when it begins with who is travelling, not with the vehicle. Before you enquire, put together:

• Names and numbers for each race day. Guests often attend different days.
• Pickup addresses — hotels, homes or an office.
• A lead contact for each vehicle, with a mobile number, so the chauffeur has one person to coordinate with.
• Accessibility needs, children travelling and any mobility requirements.

You do not need final names to get a quote, but you do need realistic numbers and pickup points.

Group your pickups sensibly

A single vehicle collecting from six addresses across Melbourne makes a long morning and a late arrival for the first guests. It usually works better to:

• gather guests at one or two meeting points, such as a hotel lobby or office
• use separate vehicles for groups coming from very different directions
• keep people who are leaving together in the same vehicle for the return.

Choose vehicles for people and luggage

We confirm a vehicle category for your booking; a specific model is not guaranteed.

• Executive sedan — one to three passengers.
• Luxury SUV — one to four passengers with more room.
• People mover — up to seven seated passengers. A V-Class can be requested.
• Executive van — up to eleven seated passengers. A Sprinter can be requested.
• Minibus or coach — larger groups, up to a 21-seat coach.

Plan return times, not just arrivals

Getting a group to Flemington is the easy part. Getting everyone home is harder.

Your drop-off and return meeting arrangements are confirmed for your race day, vehicle and itinerary. Racecourse access and traffic controls can affect the closest legal collection point. Allow time to leave your hospitality area and reach the agreed meeting location.

Choose the return that suits the group:

• Scheduled return — one agreed time, good when the hospitality package has a set finish.
• Staggered returns — separate times or vehicles for guests leaving early and those staying for the last race.
• Hourly, as-directed hire — the vehicle stays booked for a set period, which suits hosts who need flexibility.

Make sure every guest knows the agreed meeting location and the lead contact's number before the day.

Tickets and hospitality are separate

Drive To Arrive provides transport only. Race tickets, memberships, marquees and hospitality packages are booked separately with the VRC or your hospitality provider. Please do not assume that a transport booking includes entry, and do not send us ticket or payment card details in the notes.

Many corporate groups include interstate guests. You can add these legs to the same enquiry:

If you are hosting on Derby Day and Melbourne Cup Day, or across all four days, send every date together. It is easier to plan the vehicles, and your guests get consistent arrangements each day.
