The Melbourne Cup Carnival is the four Flemington days from 31/10/2026–07/11/2026. Racing Victoria's wider spring program runs well beyond these dates 1, but these seven days are the ones most visitors plan around.

Step 1: Choose your race day and venue first

Everything else follows from the race day. Caulfield and Flemington are on different sides of Melbourne, so the hotel you pick and the time each leg takes depend on where you are racing.

• Caulfield Racecourse hosts Caulfield Guineas Day and Caulfield Cup Day. It is in the south-east.
• Flemington Racecourse hosts Cox Plate Day in 2026 and all four Melbourne Cup Carnival days. It is north-west of the CBD.

Step 2: Melbourne Airport or Avalon?

Melbourne has two airports that take interstate passenger flights, and they are a long way apart:

• Melbourne Airport (Tullamarine) is north-west of the city.
• Avalon Airport is south-west, towards Geelong.

Travellers from Perth, Brisbane, Sydney, Adelaide, Canberra, the Gold Coast and Hobart may land at either, depending on how they booked. Check your ticket and tell us the airport, flight number and scheduled arrival time when you request a quote. An Avalon arrival means a longer transfer to a city hotel, which affects both timing and price.

Step 3: Plan your accommodation around the races

Where you stay changes how long each race-day leg takes. Before you book a hotel, think about:

• Which racecourse you are attending most. A multi-day Flemington trip suits different areas from a single Caulfield day.
• Whether you need to change before racing. Many visitors land, check in and change before heading to the track, so allow time for that between the airport arrival and the race-day pickup.
• Where dinner is afterwards. If you are going out after the races, tell us so the return can go to the restaurant instead of the hotel.

Step 4: Think about luggage separately from passengers

Seating capacity is not the same as luggage capacity. A vehicle that seats four comfortably may not fit four suitcases, four hat boxes and a garment bag.

When you request a quote, list:

• the number of passengers
• the number and size of suitcases
• any hat boxes, garment bags or extra shopping bags.

For an airport arrival with a lot of luggage, a luxury SUV or people mover may suit better than a sedan. We confirm a vehicle category for your booking; a specific model is not guaranteed.

Step 5: Treat the airport and racecourse as separate legs

The most reliable way to plan is to list each leg on its own:

1. Airport to hotel on arrival.
2. Hotel to racecourse on race day.
3. Racecourse back to hotel, home or dinner.
4. Hotel to airport for departure.

Step 6: Plan the return before the day

The trip home is where race days most often go wrong. Crowds leave together and roads near the course are managed.

Your drop-off and return meeting arrangements are confirmed for your race day, vehicle and itinerary. Racecourse access and traffic controls can affect the closest legal collection point. Allow time to leave your hospitality area and reach the agreed meeting location.

Choose between:

• A scheduled return at an agreed time — best when you know when you are leaving.
• Hourly, as-directed hire — the vehicle stays booked for a set period, which suits a long day where plans might change.

Step 7: Plan your departure

If you fly home the day after racing, book the airport departure with the rest of the trip. Give us the airport and your flight time so we can plan the pickup with enough margin for traffic and check-in.

If you want to go straight from the racecourse to the airport, tell us when you enquire. It is possible when the leg is included in your itinerary, but it needs careful timing and room for your luggage in the vehicle.
