Hotel-to-Airport Timing Guide

Departure transfers are a backwards calculation from the airline's cut-off, not a forwards guess from the flight time. This guide shows the calculation and the planning ranges behind it.

The calculation

Pickup time equals departure time, minus the airline's check-in requirement, minus the journey planning range, minus a contingency for the hotel itself. That last term is the one people forget: checking out, waiting for a bag to come down and getting a group into the lobby can easily absorb fifteen minutes before the vehicle moves.

Do the arithmetic on the worst realistic case rather than the average. The average journey has no consequence attached to it; the worst case has a missed flight.

The figures below are planning ranges from typical central hotel districts, not guarantees. Real journey times vary with roadworks, weather, events and incidents, and no chauffeur service can promise otherwise.

When to add more

  • Group departures: add 15–20 minutes for assembly and luggage loading.
  • Suburban hotels: add the suburb-to-city leg, which in Melbourne's east or south-east is frequently 20–40 minutes on its own.
  • Major events: a marathon, a grand final or a city festival can close roads entirely; tell us and we will re-plan the route.
  • Oversized luggage or sporting equipment: airlines often require earlier check-in for these.
  • School holidays and long weekends: terminal queues lengthen even when the roads do not.

Why an early arrival is the cheap option

The asymmetry is stark. Arriving forty minutes earlier than necessary costs a coffee and a seat at the gate. Arriving fifteen minutes late costs a change fee, a new fare or an entire itinerary. Any time you are choosing between two pickup times, the earlier one is almost always the rational choice.

Can you recommend a pickup time if I give you my flight?

Yes. Give the flight number, departure time and pickup address and the operations desk will propose a pickup time with the reasoning behind it, including the traffic assumption used.

What if traffic is worse than expected on the day?

Chauffeurs re-route live. That is why the planning range matters more than the average — the range is what absorbs a bad day.
